It is easy to overspend on merchandise or to spread a small budget too thinly. A simple structure helps you decide what to buy, how many and who receives what.

Step 1: Decide the goal

Are you trying to be seen across the whole event, to generate leads at your booth, to thank existing clients or to look professional with a branded team? Each goal points to different products. Write down the one that matters most.

Step 2: Estimate how many people you want to reach

Estimate how many booth visitors, VIP guests and team members you want to reach and, if relevant, how many delegates a sponsorship will reach. Make three groups: a small number of key people, a medium number of qualified leads and a large number of general visitors.

Step 3: Match products to groups

  • Key people: a premium item such as an aluminium bottle, power bank or quality notebook in a presentation pack.
  • Qualified leads: a useful mid-range item such as a tote bag, notebook and pen set or cap.
  • General visitors: a low-cost, high-volume item such as a pen, sticker, drawstring bag or lanyard.
  • Your team: branded T-shirts, polos or caps.

Step 4: Divide the budget

There is no fixed formula, but many exhibitors put the largest share into a visible item used by many people, then keep a smaller premium reserve for key contacts. Whatever split you choose, avoid buying too many different items at small quantities, because larger runs reduce the price per piece.

Step 5: Ask for volume pricing

Unit prices drop as quantities rise. When you request a quote, ask for two or three quantity levels to see where the price breaks fall. For lanyards, discounts apply above 300 units. Read our lanyard ordering guide for an example.

Step 6: Add time and shipping

Production and delivery take time, and rush options may cost more. Plan the schedule using our ordering timeline.

Step 7: Keep leftovers useful

Choose items that your team can use at the next event. A well-designed bag or lanyard with a timeless logo works again and again.
